User Manual – Virtual Production Suite (VPS).

Here is the manual for the use of the Virtual Production Suite (VPS) , an application with which you can monitor the marketing and multimedia projects commissioned to BSO Multimedia , from wherever you are.

Location of the login page.

On all the pages of our web site bsomultimedia.com (Except in HOME), on the right side of the side bar, you will find the two access ways to the VPS. The first by clicking on the button identified as “Virtual Production Suite” (VPS Login) and the second by installing the applications for IOs or Android, depending on the operating system of your mobile device.

Login to the application

On the login screen you must enter the credentials that we have sent you by email and click on “LOGUIN”. If you forgot your password, click on “Forgot password” and follow the instructions contained in an email that the system will send you.

IMPORTANT NOTE: All notifications sent by the VPS will be via email, so we recommend that you indicate your program access to your email that all emails from our domain bsomultimedia.com are not spam.

Dashboard

Upon entering the system you will find the dashboard, which is a screen that allows you to control the status of your projects with BSO Multimedia and the status at a single glance. of your invoices issued by BSO Multimedia to your company.

Projects

By clicking on “Projects” in the top menu of the VPS, you will enter the status page of projects with BSO Multimedia. It will allow you in a single view to see a summary of the number of projects and their respective status as well as a list of them with their associated dates and the current status for each one.

By clicking on one of the projects listed in blue below you will enter its detail page.

In the project detail page you will find:

  • The title of the project.
  • A top menu of the project where you can have details of the different aspects of it.
  • The dates and status of the project.
  • The number of open or already worked tasks for the project.
  • The number of remaining or pending tasks for the project.
  • A detailed description of the project.

By clicking on “Tasks” from the top menu of the project, you will enter the details of the tasks that make up the project. The boxes are the “Milestones” or milestones of the project and within each box you will find the tasks associated with each specific milestone. Inside each milestone box, below in green, you will find a bar with the detail in% of execution of each one. As the tasks are completed, they will be crossed out, that indicates that the task is completed.

By clicking on “Milestones” from the top menu of the project, you will find a description of the project divided by milestones.

By clicking on “Files” from the top menu of the project, you will find the general files of the project that will be generated as the project progresses. You can download these files to your device at any time you want by clicking on them to see its detail and description and then downloading the file as any web file.

By clicking on “Discussions” in the top menu of the project, you will be able to enter a forum associated with the project, where you will be able to have “forum type” discussions of different topics associated with the project. In the example image that we place below, the casting of an audiovisual project is being discussed, as an example.

The forum is cumulative, stack type, so you can scroll to see the development of the discussion of a topic.

By clicking on “Gantt Chart” from the top menu of the project, you will be able to see the project represented in a Gantt chart, typical of project management technology. The Gantt chart allows you to have an overview of the project, as well as to keep track of it. This diagram provides a way to track and manage your project schedule, progress, and results. Horizontal lines or bars are used to visualize each task, and each Gantt chart includes resources, milestones, tasks, and dependencies.

By clicking on “Tickets” from the top menu of the project, you will find all the tickets open as a support request related to the specific project you are viewing. The support tickets allow you to contact the BSO Multimedia team to request support in case of a doubt or concern that you have in relation to the project.

Clicking on “Create Ticket” (blue button) a screen will be displayed where you will enter the information related to the doubt, concern or support request that you have in relation to any aspect of the project. This request will immediately reach the BSO Multimedia team and will be attended to diligently.

Each support request or ticket will have a status depending on the status of its processing.

By clicking on the title of each ticket, you will enter its detail and you will be able to see in detail its processing over time.

By clicking on “Contracts” from the top menu of the project, you will find the list of contracts associated with the project.

By clicking on the contract title (in zul) you will enter its details.

By clicking on download you will be able to download a pdf version of it.

You will find a button that will allow you to make a digital signature of the contract. The signature must be done using a smartphone or touch screen device. Once the contract is signed, the button will appear in green with the word “Signed” indicating that it is an existing contract.

By clicking on “Budget” from the top menu of the project, you will be able to see the detail of the budgets associated with the project.

By clicking on the budget number you will be able to see its details and you will be able to download it in pdf format on your device.

By clicking on “Invoices” from the top menu of the project, you will be able to see the details of the invoices associated with the project.

By clicking on “Activity” from the top menu of the project, you will be able to see the detail of the activities that occurred associated with the project in a timeline.

Invoices

By clicking on “Invoices” in the top menu of the VPS, you will enter the status page of the invoices associated with your company’s relationship with BSO Multimedia. In this section all the historical invoices are presented, for all the projects carried out.

By clicking on the invoice number you will see its details and you will be able to download it in pdf format on your device.

Contracts

By clicking on “Contracts” in the upper menu of the VPS, you will enter the status page of the contracts associated with your company’s relationship with BSO Multimedia. This section presents all the historical contracts, for all the projects carried out.

By clicking on the contract title (in blue) you will enter its details.

By clicking on download you will be able to download a pdf version of it.

Budgets

By clicking on “Budgets” in the top menu of the VPS, you will enter the status page of the budgets associated with your company’s relationship with BSO Multimedia. In this section all the historical budgets are presented, for all the projects carried out.

Support

By clicking on “Support” in the top menu of the VPS, you will enter the status page of the support tickets activated during the relationship of your of your company with BSO Multimedia. This section presents all the historical tickets with their respective status, whether they are associated with projects or not.

Support tickets allow you to communicate with the BSO Multimedia team to request support in case you have a question or concern, either for user support of the VPS platform, administrative support, legal support related to a contract, support with a project, or any question you have in which we can help you.

By clicking on “Create Ticket” (blue button) a screen will be displayed where you will enter the information related to the doubt, concern or support request that you have in relation to any aspect of the project. This request will immediately reach the BSO Multimedia team and will be attended to diligently.

Each support request or ticket will have a status depending on the status of its processing.

By clicking on the subject of the ticket you will be able to access its details.

User profile

By clicking on the right circle in the top menu of the VPS, the user profile menu will be displayed.

By clicking on “Profile” you will access your profile in the VPS and you will be able to make the modifications that you deem pertinent.

IMPORTANT NOTE: Below in the “Email Notifications” section you will find a list of events that will generate notifications in your email. You can configure what type of notifications you want the VPS to send you. By default all are enabled. For complex projects that involve many activities it can be a large number of notifications, if you are not managing the project in detail, we recommend disabling the one corresponding to “Tasks”.

By clicking on “Company details” you will access your company profile in the VPS and you will be able to make the modifications that you deem pertinent.

Clicking on “GDPR” will take you to the GDPR full compliance section.

By clicking on “Language” you will be able to select the language in which the interface of the VPS system will be presented.

Clicking on “Close session” will proceed to exit the system.
